Terms of Service

Terms governing the use of EquipSpan.

Effective 18 August 2026. These Terms of Service govern business access to and use of the EquipSpan website, trial and application.

1. Provider and acceptance

EquipSpan is provided by Jose Ciscar Garcia, Spanish VAT identification number ES52746465J, at Carrer Frare Lluis Amigo, 16 - 8, Torrent (Valencia), Spain (the “Provider”). The legally required provider information is set out in the Legal Notice. By creating a workspace, accepting an invitation or otherwise using the application, the person or organisation using the service (the “Customer”) agrees to these Terms of Service and acknowledges the Privacy Notice. A person acting for a company or other organisation represents that they have authority to bind that entity.

2. Intended users and accounts

EquipSpan is intended principally for businesses and professional teams that install or support equipment at customer locations. You must provide accurate account information, keep login credentials confidential and notify us promptly of suspected unauthorised access. The workspace owner is responsible for choosing authorised users, assigning appropriate roles and removing access when it is no longer required. Accounts may not be shared between people to avoid the selected user allowance.

3. Service description and boundaries

EquipSpan organises customers, installation locations, equipment, components, documents, photographs, coverage records, service requests, treatments, visits, proposals, supplier claims, evidence and next actions. The service is maintained and updated over time. EquipSpan is an operational record and collaboration service. It does not provide legal, tax, accounting, safety, engineering or regulatory advice; determine statutory or contractual warranty rights; certify compliance; or replace the Customer’s professional judgement or legal obligations.

4. Trial, plans and usage allowances

An eligible new workspace may receive one complete 21-day trial. No payment card is required for the trial, and no charge is created unless the workspace owner separately selects a paid plan and authorises the transaction. Paid plans differ by active-user allowance and shared private storage. Customers, installation locations and installed equipment are not subject to numerical plan quotas; however, use must remain lawful, reasonable and within the selected user and storage allowances. 5. Subscriptions, renewals, payments and taxes

Paid subscriptions are offered on a monthly or yearly basis and renew for the same billing period until cancelled. The price, currency, billing interval and applicable taxes are shown before payment is authorised. For transactions processed by Paddle, Paddle acts as the authorised reseller and Merchant of Record. The purchase is also subject to the Paddle Buyer Terms, and Paddle is responsible for payment processing, applicable transaction taxes, receipts and subscription billing. The workspace owner must keep the billing information associated with the subscription accurate and current.

6. Cancellation and refunds

The workspace owner may cancel a paid subscription through the billing area or Paddle buyer portal. Cancellation prevents the next renewal and normally takes effect at the end of the current paid billing period; it does not by itself refund a payment already made. Refund requests are handled according to the EquipSpan Refund Policy, the Paddle Refund Policy when Paddle processed the transaction, and any mandatory rights that apply.

7. Customer data, files and permissions

The Customer retains all rights it holds in the records and files uploaded to the service. The Customer authorises the Provider and its processors to host, copy, transmit, back up and otherwise process that material only to the extent necessary to provide, secure and support EquipSpan. The Customer is responsible for establishing an appropriate lawful basis and obtaining all permissions required to enter personal data, customer details, photographs, signatures and documents. Users must not upload unlawful material, malicious code, content that infringes third-party rights or sensitive data that is unnecessary for the stated operational purpose.

Available exports are provided to help the Customer preserve and use its operational records. The Customer must maintain any independent archive required by law, contract or its own business-continuity policy. EquipSpan is not the Customer’s sole statutory archive or evidence repository unless expressly agreed in writing.

8. Acceptable use

Users must not misuse the service; interfere with its security, integrity or availability; attempt to access another workspace; bypass access or plan controls; introduce malicious code; scrape the service at an unreasonable scale; use it for unlawful surveillance; or use secure request and invitation links to send spam or misleading communications. Reverse engineering or commercial reproduction is prohibited except to the limited extent expressly permitted by applicable law.

9. Availability, maintenance and support

We take reasonable care to operate and secure EquipSpan, but uninterrupted or error-free availability is not guaranteed. Maintenance, security work, provider incidents and product changes may temporarily affect access. Support is provided through the EquipSpan support page. Material changes that reduce a paid plan during its current billing period will be handled reasonably, taking account of applicable law and any commitments displayed at purchase.

10. Intellectual property and feedback

EquipSpan, its software, website, design, documentation and original content remain the property of the provider or its licensors. Subject to these terms and an active trial or subscription, the customer receives a limited, non-exclusive, non-transferable right for its authorised users to access the service for internal business operations. Feedback may be used to improve EquipSpan without transferring ownership of the customer’s pre-existing materials or confidential information.

11. Suspension and termination

Access may be restricted or suspended where reasonably necessary to address non-payment, an exceeded plan allowance, a security threat, unlawful activity or a material breach of these Terms. Where appropriate in the circumstances, the Provider will give notice and a reasonable opportunity to remedy the issue. When a trial or subscription ends, the workspace may become read-only or unavailable in accordance with the account lifecycle displayed in the product. Customers should export any required records before final deletion. Applicable retention and backup periods are described in the Privacy Notice.

12. Responsibility and liability

Each party remains responsible for losses caused by its breach, negligence or unlawful conduct. To the fullest extent permitted by law, EquipSpan is not liable for indirect or consequential business losses, lost profit or revenue, loss caused by decisions made without appropriate professional review, or failures outside its reasonable control. Nothing in these terms excludes or limits liability where doing so would be unlawful, including mandatory liability for fraud, wilful misconduct, death or personal injury caused by negligence, or non-waivable consumer rights. Any further limitation must be interpreted according to the applicable mandatory law and the specific circumstances.

13. Amendments, governing law and contact

The Provider may amend these Terms to reflect changes to the product, security requirements, applicable law or commercial arrangements. Material amendments will be published with a revised effective date and, where required by law, notified before taking effect. These Terms are governed by Spanish law. For business Customers, jurisdiction lies with the courts competent under Spanish procedural law, without prejudice to any mandatory forum or consumer right that applies. Paddle’s terms govern the separate payment transaction processed by Paddle.
