EquipSpan follows the way small installation and service teams actually work, including requests resolved without a visit and supplier claims that remain open after the repair.

Build the installed base

Create or import the customer, add its locations and register each supported unit with the information currently available.

Keep the equipment context together

Attach components, serial numbers, documents, photographs, coverage records and maintenance plans to the correct unit.

Receive and qualify the request

Log it internally or receive it through a secure customer link, then set priority, responsibility, status and the next action.

Treat remotely or prepare a visit

Record calls, checks and decisions without inventing a visit. If field work is needed, schedule it with its equipment and request context.

Execute and preserve evidence

Use a phone or tablet for the checklist, findings, photographs, signature and completion notes; then generate the service report PDF.

Complete the remaining follow-up

Keep customer proposals, expected and actual amounts, and supplier claims visible until both the operational and financial follow-up are complete.

A request is not automatically a visit

Record what happened even when nobody travels.

The office can receive the request, add treatments, request information, resolve it remotely or close it with a reason. A visit is created only when field execution adds value.

Issue an itemised proposal, record the customer’s decision and retain the regionally formatted PDF.

Prepare the claim with the equipment, serial number, evidence, requested amount and supplier response.
